Things about ERP that you should know !

A good ERP, if implemented well, will be a game-changer for any business. Here’s a compilation of the topmost impact it creates on the business

will make your business leaner and more efficient

Manual systems are well-known for duplication of work and lack of transparency. Departments do not work well together. More people are hired, than actually needed. ERP sets all those right.

will give more power to your staff, but make them more accountable too!

Delegation of duties in manual systems is difficult. This hurts fast decision-making. The business slows down. ERP users are given the rights to do their jobs, without much support from others. Their colleagues cannot also hold back on supporting them, since the whole system will come to a halt unless everyone does their job! You can easily find out who did what and pin responsibility, should things go wrong. You have a business that is in better control.

will free up more time for you

Decisions need not wait for you. ERP makes your office a well-oiled machine, that runs nonstop. You can be anywhere in the world, in any time-zone, but your teams will never know it. You are always on, always in control

will protect what’s good

ERP does not discard a manual system in its entirety. On the other hand, it carries over the good parts, make them better and give you a far more refined, reliable system.

will show you where profits are, and where they aren’t !

Most of the distress in businesses is the result of not knowing where the business is making money, and where it is losing. Then, there could also be revenue leakages and blockages too. An ERP brings out all these to your notice. You can take appropriate action and keep the business healthy.

will support the growth of your business

Some good businesses go haywire when they experience sudden boom, unable to handle the bigger scale of operations. If you are already on an ERP, scaling up becomes painless

will make your business truly digital

Only those businesses that are fully digitized

Not using an ERP yet ?

Midsized business typically appear to be very reluctant to adopt an ERP. Various factors may contribute to this, funds being an often-cited reason. We believe that the most important reason is a lack of knowledge about how ERP can help. There are many myths about ERP, that come in the way.

This was true to some extent till cloud-hosted ERPs on pay-as-you-go model came on the scene. There are no fixed overheads other than the periodic subscriptions. There is no server hardware that you need to maintain. Where is the question of payback, when your ERP cost is only a recurring expense!

Business processes are very similar across industries in areas such as inventory, sales, purchasing etc., although could be subtle variations from one entity to another. ERPs like Crest ERP are designed around a generalized set of business processes. Often called ‘best practices’, these can be easily adopted by a large chunk of entities.

This was an impression created in the early days of ERP, when general computer literacy was low. Quite the opposite, most of today’s business users will be at home with any ERP, with some training and practice.

There was an acute shortage of trained ERP consultants in the early days of ERP, especially with the high-end ERP for large enterprises. ERP now has a good skill-base, with widespread adoption by businesses. Not only have the software become better in general, implementations are also quicker because of the expertise available.

Far from it ! Today’s workers are tech-savvy, especially with the widespread use of smartphones. It is much easier to train today’s workers. They understand the benefits of using software, and automation. They know that software can help them perform their jobs faster and better.

Every user has access to only the data they actually need, not the entire data. Most importantly, no user has to ask around for data from other departments. Crest ERP brings departmental walls down, nobody can hoard data. Restrictions can be placed on downloading and printing the screen, if required.

Growth in business volume and activity levels are natural in high-growth businesses. Crest ERP is designed to handle high transaction volumes. Furthermore, the Cloud infrastructure is infinitely scalable. Additional resources will be automatically available as demand rises. Unless there is a very drastic change in the size of the business, there’s no need to consider moving into large enterprise systems.

Business processes originate differently in different organizations. There is no universal standard process library or data dictionary for business, except those offered by Crest ERP and similar software. However, since the basic type of transactions in all businesses remain closely similar, a package like Crest ERP can be adopted easily, without any dilution in process rigour. On the contrary, ERP brings in more structured processes, with necessary checks and balances.

However, we can customize processes in Crest ERP, if the need is very strong. It would cost extra time and money, and may delay the implementation. Avoid customization as far as possible.

Can’t a simple accounting package keep us going?

Missing the 'Big Picture'

Accounting systems only keep records, not drive the business in ways that help in perform better, and grow

Accounting is a 'by-product' for ERP!

ERP systems make accounting entries automatically, when the required ‘event’ has happened, such as invoicing a sale.

Passive systems

Accounting systems do not keep track of business transactions in terms of the activities performed by the various components of the business: its people, assets, machines, plants

Data, data, data...

ERP systems generate vast amounts of data in highly scalable relational database systems. This data can be used for detailed analysis and give managers the insights for better decisions.

Not designed for process management

On the other hand, the entire focus of ERP Systems is on driving business processes without interruption. You will find almost all day-to-day processes in an ERP, with a continuous thread running from beginning to end.

Not built for scale

Accounting systems are not designed to handle high transaction volumes, or a large number of users. They can become a bottleneck for growing businesses

Can’t a simple accounting package keep us going?

There is no bigger mistake than believing that an accounting software does the work of an ERP. Though accounting packages support basic business transactions, such as purchase order, sales orders, they lack business process orientation in system design. Their scope is very limited. Most of them lack a structured database.

Accounting packages sit in the background and crunch numbers for the business. They lack the ‘big picture’ of the business. They just keep track of business transactions in terms of money, but not always in terms of the activities performed by the various components of the business: its people, assets, machines, plants…From that angle, accounting systems only keep records, not drive the business in ways that help in perform better, and grow.

ERP, on the other hand, are designed for process management. The entire focus is on driving business processes without interruption. Therefore, you can find almost all day-to-day processes in an ERP, with a continuous thread running from beginning to end. They are integrated systems, in the sense that they interconnect various departments and functions into a one whole. All process threads can exist inside the systems in various stages of completion. Unlike in accounting software, a transaction can be originated by one user, and ended by another, passing through many others along the way. ERP systems make accounting entries automatically, when the required ‘event’ has happened, such as a Sales Invoice.
